Project Update: Oct. 26-29, 2015

PROJECT-WIDE

 Training

Campuses have begun identifying all Human Capital Management (HCM) – and Finance employees who will need training for the new Workday system. This includes employees within central HCM departments and institutional partners who work in specific colleges or other departments throughout the campuses. We will use this information to develop a preliminary training schedule we hope to have completed in January 2016, which will allow campuses time to plan and prepare for spring and summer training events.

Testing

HCM, Finance and Payroll Subject Matter Experts and Designees have begun preparing scenarios to test Workday configurations they’ve designed. The scenarios our HCM and Payroll Designees and SMEs began preparing last week represent common tasks that, when performed during Unit Testing, will ensure that our Workday system has been configured optimally.

Unit Testing is the first phase of our testing process and occurs during the each Prototype stage of our Workday implementation. Conducted by our Project Team, Unit Testing will test individual components of our business processes to ensure they are functioning correctly. It will involve our Designees and SMEs, who will test Prototype 1 by working through testing scenarios the Team is developing. Through that process, Unit Testing also will validate the workflows the Project Team developed during Design and Working Sessions.

FINANCE

  • Designees continued to work on the financial data models. Follow-up conversations were held with most institutions to address remaining questions or concerns. In addition, Award Conversion meetings throughout the week prepared for data extracts from Advantage Financials, and consultants and Designees also conducted an Effort Reporting demonstration review.
  • Finance and Grants held a cross functional meeting to discuss in-kind cost share and Millennium Scholarship Awards.
  • The biweekly Finance Open Forum call dealt with several topics, including the progress of data conversion and Unit Testing. The data conversion discussion focused on the Financial Data Models that are being collected to load into Prototype 1. Initial Unit Testing will be conducted by our Designees, with subsequent testing also involving the SMEs.
  • Working sessions in Reno focused on Projects, Customer Accounts, Banking & Settlements and Grants. Team Members walked through functionality and validated business processes and security roles.

 

HUMAN CAPITAL MANAGEMENT

  • Working sessions in Reno focused on Time Tracking and Absence Management.
  • Payroll – Team Members continued to validate data against our legacy system and worked diligently on creation of test scenarios we’ll use to test the functional processes and overall configuration when we begin the critical testing phase.
